Requests for student records and transcripts must be directed in writing to the Admission Office. The School reserves the right to withhold student transcripts and records for non-payment of tuition or fees.
Student Records - Student records are kept by the Registrar and include conference reports, attendance reports, and standardized test reports. All records remain the property of Alcuin School. All student records are confidential. However, parents have the right to review and request a release of their child’s records to another school. Parents should call the Alcuin School Office of Admission. When a parent applies his child for admission to another school, he will be requesting both guide/faculty member recommendations and release of records to the new school. All requests for transfer of records and for guide/faculty letters of recommendation must go through the Admission Office. Parents should not make any of these requests directly to their child’s guide/faculty member. Parents should inform the Admission Office at least two weeks prior to the date recommendations and records are required, and the Admission Office will do all the necessary paperwork involved in the transfer. Conference reports, standardized test results and guide/faculty recommendations will be forwarded to the requesting school. Student records are sent directly to the requesting school and will be released only when student accounts are current. In transferring to another school, timing must be considered. Alcuin School will expect parents to honor the terms of existing enrollment contracts. Upon receipt of an application to another school, the child’s Division Head will contact the family to discuss their plans and concerns surrounding changing schools.
In the event of family disputes involving custody, visitation rights, etc., Alcuin School abides by restrictions established by court order or custody papers. These documents are kept in a secure, locked file to protect family privacy. A non-custodial parent may request that Alcuin School provide by mail copies of all correspondence and reports directly to him/her in the absence of any court order to the contrary. These include copies of the following: reports of the student’s emotional and physical health, notices of school initiated parent/teacher conferences, and notices of major school sponsored events, and copies of the Parent Handbook.
Upper School Transcripts – Upper School transcripts are to be requested by contacting the Upper School Registrar.
